Corporate travel has less room for error than a leisure trip — a late pickup can mean a missed flight connection or a delayed event start. Here's what we recommend confirming before you book.
Confirm headcount early
Vehicle sizing should be based on confirmed attendee numbers, not estimates. It's easier to size a mini bus correctly upfront than to arrange a second vehicle at the last minute.
Share the full day's schedule
For offsites and multi-stop event days, share your agenda — pickup points, timing between venues, and the return schedule — so vehicles and drivers can be planned around it rather than booked as a single point-to-point trip.
Ask about backup planning
For high-stakes events, ask whether a backup vehicle or driver is available. It's a reasonable question, and a transportation partner who takes corporate travel seriously should have an answer.
Get an itemised quotation
A clear quotation — vehicle category, estimated distance/duration charges, driver allowance and applicable taxes — makes it easier to get internal approval and avoids surprises on invoicing.
