Wedding Guest Transportation: A Planning Guide

Moving guests between venues, hotels and functions is one of the easiest parts of a wedding to get wrong. Here's how to plan it properly.

Wedding transportation is easy to underestimate — until guests are stuck waiting for a ride between the hotel and the venue, or a multi-day function schedule falls apart because nobody planned the vehicle logistics. Here's what actually matters.

Map the Full Schedule First

Before booking anything, list every pickup point (hotels, airport, guest residences) and every function (mehendi, sangeet, ceremony, reception) with rough timings. Multi-day weddings especially need this mapped out, since the same vehicles are often reused across different days and function venues.

Match Vehicle to Group Size

A small family group might just need a decorated sedan or Innova for the couple and immediate family. Larger guest groups moving between a hotel and venue are usually better served by a Tempo Traveller or mini bus doing repeated shuttle runs, rather than multiple cars that are harder to coordinate.

Plan for Multi-Vehicle Coordination

If you're running more than one vehicle across a multi-day event, having a single point of contact coordinating pickup times avoids the most common failure mode: two vehicles showing up at the same place, or a shuttle leaving before all guests have boarded.

Confirm Pricing Terms Upfront

Ask for the per-km rate, minimum daily kilometres, driver Bata and duty timing in writing before the wedding, not during it — especially for functions that run past standard duty hours, since extra driver Bata typically applies after 10 PM.
